Assigning creatives and setting due dates

A roadmap only works when every creative has a clear owner and a clear deadline. On the Creative Roadmap, you can set an assignee and a due date on any card, so there is never a question about who is responsible or when work is expected. This article shows you how to assign creatives, set dates, and keep the pipeline moving.

Why ownership and deadlines matter

Unowned work is the most common way creatives stall. A card sitting in working with no assignee is invisible: no one feels responsible, so no one moves it. Adding an assignee and a due date fixes both problems at once:

  • The assignee makes responsibility explicit, so the card shows up in that person's queue.
  • The due date creates a shared expectation of timing, so nothing drifts indefinitely.
  • Together they let anyone scan the board and see what is on track and what is at risk.

Assigning a creative

  1. Open the roadmap.
  2. Open the card you want to assign.
  3. Choose an assignee from your team members.
  4. Save, and the card now appears in that person's my-queue filter.

You can assign anyone on your team. Roles in ATIYO are Admin, Strategist, and Editor, and you invite teammates by email from the team page. Once someone is on the team, they are available to assign on any card.

There is no 'viewer' workspace role. Viewer access only exists for sharing folders in the Vault. Everyone you assign a creative to is a full workspace member who can act on the board.

Setting a due date

A due date sets the deadline for a creative's current stage of work. Open the card, set the date, and it becomes visible on the board so the whole team can plan around it. Use due dates to pace your testing cadence: if you want a fresh batch ready to test every week, set edit deadlines that support that rhythm.

The assignee's view

Once a creative is assigned, it appears in the assignee's my queue. That filter turns the board into a personal to-do list showing only their cards. Staying informed with notifications

When you assign a creative, the assignee is notified in the in-app bell, so handoffs do not depend on a separate message. Notifications also cover Vault folder shares and review comments, which keeps assignment and review feedback flowing to the right person automatically.

Reassigning and rebalancing

Ownership is not permanent. As priorities shift or someone's plate fills up, reassign cards to keep the pipeline balanced:

  • Reassign a single card by opening it and choosing a different team member.
  • When one editor is overloaded, move a few of their cards to someone with capacity.
  • After a big bulk status change, revisit assignments, since a status move does not change who owns a card. See updating creatives in bulk.

Habits that keep work on track

A few simple routines make assignees and due dates pay off:

  1. Assign a creative and set a due date as soon as it enters working, not after.
  2. Have each editor check their my-queue daily so nothing is a surprise.
  3. Scan for cards with a due date but no assignee, or an assignee but no date, and fill the gap.
  4. Update the assignee whenever work is handed off between teammates.
