TikTok’s cancellation documentation defines a project as a collaboration that can contain one or more orders. According to that guidance, no payment is due before an order is agreed. The acceptance timestamp is therefore a critical boundary between an uncommitted opportunity and an agreed order.

After acceptance, track production against the specific order. For each deliverable, maintain a version number, file reference, upload timestamp, requesting party, requested changes, response date, resubmission timestamp, and current review state. TikTok’s cancellation guidance also documents a deemed-approval rule for certain orders selected for manual advertiser review: if the advertiser neither expressly approves nor rejects the order for 14 days, the order is deemed approved. Record whether the order was subject to the relevant manual review process, when that review period began, whether any rejection or revision interrupted the timeline, and the calculated deemed-approval date.

Keep approval evidence even after payment appears in the Rewards Center. An approval screenshot, notification, or message establishes a creative milestone; a Rewards Center transaction establishes a financial milestone. They answer different questions and should not be collapsed into one checkbox.

4. Apply the correct cancellation-stage matrix

Record the stage first, then evaluate payment treatment. Never choose a percentage merely because the project’s overall status says “cancelled.”

For the creator projects covered by TikTok’s cancellation guidance, the documented treatment is stage dependent. Before an order is agreed, no payment is due. If the creator cancels before submission, or misses the project deadline, no payment is due. If TikTok cancels after the order is agreed but before submission, the guidance states that at least 10% of the total fee is payable, with further payment discretionary. If the project is cancelled after content submission, the guidance states at least 50%, which TikTok may increase based on how closely the work meets the specifications. If the advertiser approved the delivered content before cancellation, the guidance provides for full payment.

These rules require more than a cancellation date. Save who requested cancellation, the reason given, when it was requested, who accepted it, when it became effective, the status of every order, and which deliverable versions existed at that moment. For in-app creator projects described by the cancellation article, the cancellation is initiated through TikTok One and must be accepted by the advertiser and creator.

Do not assume the matrix applies to every commercial relationship involving TikTok content. TikTok’s article limits its scope, including by excluding private arrangements made directly with advertisers and Creator Content at Scale campaigns. Review the project-specific terms when the collaboration falls outside the stated policy.

The commercial terms add another necessary distinction. Unless otherwise specified, TikTok states that base-pay entitlement arises when a deliverable receives TikTok One approval, while revenue-share entitlement arises when the deliverable is published as an ad. Other pre-agreed payments follow their applicable payment and cancellation terms. Record the payment model and governing terms before calculating an expected amount.

5. Keep partner-managed projects in a separate workflow

Do not use the in-app creator-project percentage matrix for a partner-managed project without confirming that it applies.

TikTok distinguishes partner projects, in which creators are managed off-app rather than invited through their own TikTok One accounts. Its cancellation guidance says an order is considered open once at least one creator working with the partner accepts a collaboration invitation.

For these projects, TikTok’s documented cancellation treatment is based on order delivery: cancellation before delivery begins produces no payment; completion of some orders produces payment proportional to completed orders; and delivery of all orders produces 100% of the total fee. The guidance also says an accepted cancellation does not become effective until open orders reach complete status.

A partner-managed tracker should therefore include the partner, each participating order, the creator acceptance evidence, delivery-start evidence, completed-order count, open-order count, and the cancellation’s pending or effective state. Do not represent an accepted-but-not-yet-effective cancellation as fully closed.

TikTok’s payment setup documentation instructs creators to establish a payment account through the Rewards Center, including payment details and tax information where required. TikTok reviews the submitted information and notifies the creator when the payment account is approved. Account verification is therefore a separate operational dependency from creative approval.

TikTok’s payout documentation describes Rewards Center information including available balance, monthly rewards, pending rewards, transaction history, failed payments, and order details connected to tasks or videos. Use a financial sequence such as: not earned, expected under cancellation terms, earned or approved, pending, available, withdrawal requested, processed, and received.

For every movement, save the displayed amount, currency, transaction ID, order reference, status, and timestamp. 7. Close with rights, asset disposition, and reusable learnings

A cancelled or paid project is not operationally closed until you know what happened to the files, access, publication, and usage rights.

Record every delivered file, whether it was approved, whether it was published, whether the advertiser still has access, and whether you removed the asset. Save any removal confirmation and the date. Also preserve the stated usage period, permitted edits, captions or translations, sublicensing terms, and any project-specific license language.

TikTok’s creator commercial terms state that submitted deliverables may remain accessible until removed by the creator or TikTok.
