Review whether the intended product is identifiable, whether the creator’s claims match the proposed campaign, whether the hook makes sense to a viewer without prior context, and whether the visuals, audio, comments, sentiment, and creator-brand fit are acceptable. 5. Track creator permission at the correct scope

Its creator guidance says video-level authorization covers a specific video for 365 days, while account-level authorization continues until the creator disables it. TikTok also distinguishes video-request authorization, account-level authorization, and off-platform authorization when presenting authorized posts. If a Spark code is involved, store it only after permission has been confirmed. Do not place a code in a candidate record merely because someone expects authorization to arrive. Spark authorization should not become a catch-all rights field. Editing, cutdowns, raw files, use on other social platforms, website use, email use, geographic territories, whitelisting arrangements, and usage after the TikTok term should each be documented according to the actual agreement. TikTok’s platform status can establish what its workflow recognizes; it does not make your separate deal terms legible to the rest of the team.

6. Separate authorization from Ads Manager synchronization

TikTok says posts authorized through Content Suite in Ads Manager can automatically synchronize to the Spark Ads posts area of Creative Library, while auto-sync is not enabled by default when authorization occurs through Content Suite inside TikTok One. 7. Keep synchronization and launch as separate decisions
A post appearing in Ads Manager does not prove that it became a live Spark Ad.
Maintain a separate launch field with values such as Not planned, Queued, Live, Paused, Completed, or Closed without launch. TikTok’s own Content Suite workflow distinguishes content awaiting authorization, content authorized for Spark Ads, and content launched as Spark Ads. Before launch, check that the selected post matches the authorized record, the permission is still active, the intended account is correct, and any creator conditions have been addressed. If the brand decides not to launch, preserve that outcome. “Authorized but not selected” is useful context and should not be misreported as a rejection by the creator.
Close records with a specific reason: launched, campaign complete, not selected after authorization, creator declined, authorization revoked, authorization expired, synchronization failed, or creative no longer suitable. A clear close reason prevents the same post from repeatedly returning to outreach without context.
