How do you move a gifted creator into Shopify Collabs affiliate work?
Create two connected records: a Shopify Collabs connection for the commercial offer and a separately accepted production-and-permissions handoff for the content. Preserve the original gift record, identify the exact product, document the link, code and commission, issue a new brief, give explicit disclosure instructions, and define every requested usage right. Do not assume that gifting or affiliate participation obligates the creator to post or gives the brand paid-media rights.

Why should the Collabs offer and content agreement stay separate?
Shopify Collabs facilitates the affiliate relationship, but it should not be treated as the complete production or permissions agreement.
A Collabs creator profile can preserve relationship information such as collaboration history, gifting history, current offers and sales performance. Shopify’s terms also state that program agreements are directly between the merchant and creator, with the parties responsible for services, deliverables and payments. That makes Collabs useful as the commerce record—not a substitute for an accepted brief and rights agreement.
The distinction protects creators as well as brands. Receiving a product does not, by itself, establish every posting obligation, deadline, revision round or license the brand may later request. The new handoff should state what was previously agreed, if anything, and what the affiliate phase adds.
Name the record clearly: “Gift-to-Affiliate Handoff — Creator — Campaign — Version — Effective Date.” Keep the original gifting record unchanged and link the two records. This creates a defensible history if the product, offer, brief or rights later change.

How do you freeze the gifted product details?
Identify the physical product the creator received and confirm whether the affiliate destination represents that same product and version.
Record the SKU, variant, size, color, quantity, bundle components and included accessories. Add the product and packaging version, shipment and delivery dates, and whether the creator must use the gifted unit or will receive a replacement. If packaging or formulation changed after delivery, flag that difference before the creator makes or films claims.
Save the approved destination URL and a dated screenshot or PDF of the product page. Note launch timing, regional availability, material stock limitations and the exact product name the creator should use. Include brand-supplied evidence for objective claims and a short prohibited-claims list.
This product snapshot prevents a common mismatch: the creator demonstrates one variant while the affiliate link opens another, or repeats product-page language that has since changed. The creator should confirm that the recorded unit matches what arrived before accepting the new brief.

What affiliate terms must be recorded?
Document the complete offer, including how attribution, adjustments and payout work—not merely the commission rate.
Shopify Collabs invite programs can include an affiliate destination, URL parameters, customer discount and creator commission. Shopify also tracks creator-generated orders, sales and commissions. Put the authoritative Collabs program or offer name in the handoff, then reproduce the creator-facing terms in plain language.
Record who handles attribution or payment questions. Before publication, the creator should test the destination and code in an eligible shopping context without completing a purchase. Save the test date and result. If either fails, postpone publication rather than asking the creator to promote an unverified offer.
Shopify says Collabs commissions have a configurable holding period and that commissions for canceled or fully refunded orders can be canceled during that period. Creators also need the required payout setup. The accepted handoff should explain these conditions so “commission earned” is not confused with “payment final.”

What belongs in the new content brief?
The affiliate phase needs a new brief because a commerce offer does not define the content the creator has agreed to produce.
Specify each deliverable by platform, format, quantity and due date. Include the audience, objective, concept, required demonstration, call to action, aspect ratio, duration, file format, caption requirements and live-post duration. State whether raw files are required; do not infer raw-file delivery from a request for a published post.
List approved product facts, required talking points and statements the creator must avoid. FTC guidance says endorsers should not describe experiences they did not have or make unsupported claims requiring evidence the advertiser lacks. Creators should retain their honest voice while staying within substantiated product information.
Set draft, feedback, revision, approval and publication dates. Name the approver, the number and scope of included revision rounds, and what constitutes a new request. Also address third-party music, fonts, locations and appearances, accessibility requirements, originality, and who is responsible for obtaining clearances.

How should the creator disclose both the gift and commission?
Disclose that the product was free and that purchases can generate commission, using plain language placed with the endorsement.
The FTC treats free products and affiliate commissions as material connections. A starting disclosure is: “Brand sent me this product for free. I also earn a commission if you buy through my link or use my code.” Adapt the wording to fit the creator’s truthful circumstances, but do not reduce it to vague labels such as “affiliate link” when those words may not tell viewers that the creator earns money.
A personalized discount code may suggest a brand relationship without explaining the payment relationship. Put the disclosure where people will encounter the endorsement: spoken near the beginning of a video, shown as readable on-screen text, and placed in the opening caption lines before truncation. For blogs or newsletters, place it near the recommendation and link. Repeat it periodically during livestreams.
Every cutdown needs its own review. If editing removes the spoken statement or overlay, restore an adequate disclosure before publication. The handoff should identify who checks disclosure compliance and who can request correction of a live post. FTC guidance emphasizes clear, conspicuous disclosure and reasonable advertiser training and monitoring.

Which usage rights need explicit permission?
Use a rights matrix. Affiliate participation does not automatically grant paid-media usage rights or ownership of the creator’s content.
Under U.S. copyright law, copyright generally begins with the author, and transferring copyright ownership generally requires a signed writing. A gift, affiliate code or accessible social post should therefore not be treated as permission for every commercial reuse. Rights terms should be reviewed for the relevant jurisdiction and agreement.
For each permission, record yes or no, channels, territory, start date, end date, editing limits and additional fee. Separate creator organic posting, brand organic reposting, website and email use, retailer or marketplace use, paid social from the brand account, partnership ads or whitelisting, cutdowns, adaptations, and third-party or agency use.
Also document whether the arrangement is a license or ownership transfer; any category exclusivity; renewal procedure; and permission to use the creator’s name, handle, image, voice and likeness. State whether captions or disclosure overlays may be moved, but never authorize edits that make an endorsement misleading. Include takedown, archival and post-expiration rules.

How do you close and control the handoff?
Require acceptance, assign owners and issue a new version whenever a material term changes.
Both sides should acknowledge the product record, offer terms, brief, deadlines, disclosure instructions, revisions, rights matrix, payment conditions and measurement source. Record the acceptance date and method. Silence, shipment receipt or publication of unrelated gifted content should not replace acceptance of the new terms.
Add an owner for the next check-in and a review or end date. If the SKU, destination, discount, commission, deliverable, deadline or rights change, create a new version with a short change log. Do not silently replace accepted terms.
Offboarding also needs a checklist. Shopify says pausing a creator connection deactivates affiliate links and discount codes and cancels unclaimed gifts. Pending payouts may still require attention in Payments. Before pausing, record the effective time, check open deliverables and approvals, review pending payments, preserve required reports, and tell the creator what will stop working.

Does sending a free product require the creator to post?
Not automatically. Use the original gifting agreement to determine whether a post was promised. The affiliate handoff should state any existing obligation rather than infer one from shipment or receipt.
Can the brand run a creator’s affiliate video as an ad?
Only if the creator expressly grants the necessary paid-media permission. Define the account, channels, territory, term, editing rights, likeness use and fee. Affiliate participation alone is not that permission.
Is a discount code enough disclosure?
Not necessarily. A code may show that a relationship exists without explaining that the creator earns commission. Use plain language describing both the free product and commission relationship.
What happens if the Shopify Collabs connection is paused?
Shopify says pausing deactivates the creator’s affiliate links and discount codes and cancels unclaimed gifts. Review pending payouts and unfinished content obligations separately before pausing.
Should performance screenshots go into the content brief?
Keep the accepted brief stable. Attach dated reporting snapshots or learning notes separately, preserving the measurement source, period and asset identity. Media performance remains in the ad platform.
