Inviting and removing team members in ATIYO

Your ATIYO workspace is built for creative teams, so getting the right people in and setting their permissions is one of the first things you'll do. This guide covers how to invite teammates by email, what each role can do, and how to remove someone cleanly when they leave. You'll manage all of this from the Team page.

How to invite a team member

Invites in ATIYO go out by email. The person you invite gets a link to join your workspace, and once they accept, they show up on your Team roster with the role you picked.

  1. Open the Team page from the left navigation.
  2. Click Invite and enter the person's email address.
  3. Choose a role: Admin, Strategist, or Editor.
  4. Send the invite. The teammate receives an email with a join link.
  5. Once they accept, their status changes from pending to active on the Team page.
Pro tip: invite people with the email address they'll actually use to log in. If someone accepts on the wrong address, you'll need to remove that pending invite and send a fresh one.

Understanding workspace roles

ATIYO has three workspace roles. Pick the one that matches how much control a person needs. You can change a role later, so start conservative and open things up as needed.

Admin

Admins can do everything: manage billing and plans in Settings, invite and remove members, change roles, and work across every part of the product. Keep the number of Admins small, usually the founder plus one or two operations leads.

Strategist

Strategists run the creative process. They can build entries in the Brand Bible, write briefs, manage the Creative Roadmap, and review work in The Vault. This is the right role for creative strategists, marketers, and producers.

Editor

Editors are your production people: video editors, designers, and freelancers who move creatives forward. They can work on assigned briefs and roadmap cards and upload deliverables to The Vault. Editors have a more focused footprint, which keeps your workspace tidy as your bench of freelancers grows.

Important: there is no "Viewer" workspace role in ATIYO. The viewer permission only exists when you share a specific Vault folder. If you want to give someone read-only access to a set of assets, share that folder as a viewer instead of adding them to the workspace.

Changing someone's role

Roles aren't permanent. If a Strategist takes on billing duties, or a freelance Editor becomes a full-time strategist, update their role in place.

  1. Go to the Team page.
  2. Find the person in the member list.
  3. Open their role dropdown and select the new role.
  4. The change applies immediately, the next time they load the app.

Removing a team member

When someone leaves the team or a freelance engagement wraps, remove them so they no longer have access to your briefs, roadmaps, and assets.

  1. Open the Team page.
  2. Locate the member you want to remove.
  3. Choose Remove from their row.
  4. Confirm. Their access is revoked right away.

Removing a member doesn't delete the work they created. Their briefs, Brand Bible entries, and uploaded assets stay in the workspace. If they were assigned to open roadmap cards, reassign those cards to someone still on the team so nothing stalls.

  • Reassign any Creative Roadmap cards they owned before removing them.
  • Check The Vault for folders they had shared, and re-share with a current teammate if needed.
  • Removing a member frees up a seat, which matters if your plan has a seat limit.

Managing pending invites

An invite that hasn't been accepted shows as pending on the Team page. If you sent it to the wrong address or the person no longer needs to join, remove the pending invite the same way you'd remove an active member. Then send a fresh invite if you still need them in the workspace.

Working with freelancers and rotating editors

Most DTC creative teams lean on a rotating bench of freelance editors and designers. ATIYO is built for that, but a little discipline keeps your workspace clean and your seat count under control.

  • Invite freelancers as Editors so their access matches the production work they're doing.
  • Assign them directly to the briefs and roadmap cards they own, so it's obvious who's responsible for what.
  • When an engagement ends, remove the freelancer to free the seat, then reassign any open cards to a current teammate.
  • For a contractor who only needs to see a set of finished assets, share a single Vault folder as a viewer instead of adding them to the workspace at all.
Pro tip: keeping ex-freelancers off your roster isn't just tidy, it protects your strategy. Your Brand Bible avatars, angles, and unreleased briefs are competitive assets, so revoke access promptly when someone's work wraps.
