Inviting your team and choosing roles

ATIYO is built for teams, and inviting the right people with the right roles keeps your creative pipeline moving. This guide explains how to invite teammates by email, what each workspace role can do, and how Vault folder sharing differs from workspace roles.

You'll want to get roles right early: they determine who can plan strategy, who produces creative, and who manages billing and members.

How to invite a teammate

Invitations go out by email from the Team screen. Each invited person joins your brand workspace and picks up where the pipeline needs them.

  1. Open Team.
  2. Enter the teammate's email address.
  3. Choose a role: Admin, Strategist, or Editor.
  4. Send the invite. They'll receive an email to join your workspace.
Invite people with the email they'll actually use to sign in, so notifications for comments, folder shares, and assignments reach them.

The three workspace roles

ATIYO has exactly three workspace roles. Pick based on what each person needs to do day to day.

Admin

Admins have the broadest access. They manage the workspace, invite and manage members, and handle account and billing tasks in Settings. Give this role to founders, ops leads, or whoever owns the account.

Strategist

Strategists drive the creative plan. They build the Brand Bible, write briefs, and manage the Creative Roadmap. This is the role for creative strategists and marketers who shape what gets made.

Editor

Editors are your producers: video editors and designers who take briefs and turn them into assets. They work heavily in The Vault, uploading cuts, posting versions, and responding to review comments.

There is no "Viewer" workspace role in ATIYO. Viewer only exists as a Vault folder-sharing permission, covered below. Don't look for it in the Team screen.

Vault folder sharing is separate

Beyond workspace roles, The Vault lets you share individual folders with specific people using two folder-level permissions:

  • Editor access on a folder lets someone upload files, post versions, and comment.
  • Viewer access lets someone see and review the folder's contents without changing them.

This is useful for looping in a freelancer or client on one folder without changing their workspace role, or without adding them to everything. Folder Viewer access is the only place the word "Viewer" applies.

Because folder sharing is independent of workspace roles, you can combine the two. A workspace Editor who produces most of your creative might be given Viewer access to a folder they only need to reference, while an outside collaborator with a minimal workspace footprint gets Editor access to the one folder they're actively working in. Match the folder permission to the task, not to the person's overall seniority.

Changing or removing access later

Roles aren't permanent. As people's responsibilities shift, an Admin can update a teammate's workspace role from the Team screen, and any folder owner can adjust or revoke folder sharing in The Vault. When someone leaves the project, removing their access in both places keeps your workspace clean and your assets secure.

  • Promote a Strategist to Admin when they start owning billing or members.
  • Downgrade or remove access for collaborators once a project wraps.
  • Revoke folder shares for freelancers when their engagement ends.

Choosing the right role

A simple way to decide:

  1. Owns billing or manages members? Make them an Admin.
  2. Plans strategy, writes briefs, runs the roadmap? Make them a Strategist.
  3. Produces the assets? Make them an Editor.
  4. Only needs to review one folder? Keep their workspace role minimal and share that folder as Viewer in the Vault.

Staying in the loop

Once your team is in, ATIYO's in-app notification bell keeps everyone connected. It alerts people to new review comments, folder shares, and assignments, so handoffs between strategists and editors don't get lost. Notifications are in-app only; there's no separate mobile app, so encourage your team to keep ATIYO open in a browser tab during production days.

A simple rhythm works well: strategists write and assign briefs, editors get notified and pick them up, and reviewers are alerted when a new version lands in the Vault. Because every handoff generates a notification, no one has to chase status in chat.

Common team setups

How you assign roles depends on your team's shape:

  • Small in-house team: one Admin founder, one or two Strategists, and your Editors.
  • Agency managing a brand: Admins for account leads, Strategists for the creative team, Editors for production, and Vault Viewer shares for the client.
  • Solo operator with freelancers: you as Admin and Strategist, with freelancers added as Editors or given folder-level access only.
