Team roles and permissions explained

ATIYO uses roles to control who can do what in your workspace. There are three workspace roles: Admin, Strategist, and Editor. This guide explains what each role can do, who should have it, and how it differs from the viewer role you set when sharing an individual Vault folder. You assign and change roles from Team.

The three workspace roles

Every person you invite to ATIYO gets one of three workspace roles. Roles determine access to billing, team management, and the creative tools. Choosing the right role at invite time keeps your workspace organized and your billing controls in the right hands.

Admin

Admins have full control of the workspace. This is the role for founders, team leads, and whoever owns the account. Admins can manage everything other roles can, plus the settings that affect the whole team.

  • Manage billing, view the plan, and upgrade or change it in Settings.
  • Invite new members and set or change their roles from Team.
  • Update workspace-level settings like the brand name.
  • Use every creative tool, from the Brand Bible to the Roadmap and Vault.
Billing and role changes are Admin-only. If a teammate cannot find plan controls in Settings, they are not an Admin. Keep at least one Admin who can manage the account.

Strategist

Strategists drive the creative planning. They build the strategy layer of ATIYO and keep the pipeline moving, without touching billing or workspace-wide account settings.

  • Build and maintain the Brand Bible with avatars, core desires, and angles.
  • Create and manage briefs, including choosing hooks, angles, and awareness levels.
  • Run the Creative Roadmap, set assignees and due dates, and change statuses.
  • Review Insights and collaborate in The Vault.

Editor

Editors are your creators and video editors. They focus on producing and delivering the assets, working from the briefs and roadmap the strategists set up.

  • Read the briefs assigned to them and reference the Brand Bible for context.
  • Upload edits and files to The Vault and manage versions.
  • Respond to Frame.io-style review comments, including ones with a video timecode.
  • Update the status of creatives they are working on in the Roadmap.

There is no Viewer workspace role

This trips people up, so it is worth being explicit: ATIYO does not have a Viewer workspace role. The only workspace roles are Admin, Strategist, and Editor. The word viewer appears only in one specific place, which is folder sharing inside The Vault.

How Vault folder sharing differs

Separate from workspace roles, The Vault lets you share an individual folder by role. When you share a folder, you choose whether the recipient is an editor or a viewer for that folder only. This is a folder-level permission, not a workspace role.

  • Editor (folder): can add files, upload versions, and participate in review comments in that folder.
  • Viewer (folder): can see the folder's contents but not change them.
  • These choices apply only to the shared folder, not to the rest of your workspace.
Folder viewer and workspace roles are independent. Someone can be an Editor in your workspace and still be given viewer access to a specific Vault folder, or vice versa.

Inviting people and setting roles

  1. Open Team from the main navigation.
  2. Invite a new member by entering their email address.
  3. Assign a workspace role: Admin, Strategist, or Editor.
  4. Send the invite. They will get access once they accept.

Need to change someone's role later? As an Admin, return to Team and update their role. Because only Admins can do this, make sure the right people hold that role before you need to make changes.

How roles interact with notifications

Regardless of role, ATIYO keeps everyone in sync through the in-app notification bell. Members are notified when they are assigned a brief or roadmap card, when a folder is shared with them, and when someone leaves a review comment. Assign work to the right person and the notifications follow.

Choosing the right roles for your team

  • Give Admin to whoever owns billing and account decisions, and keep the count small.
  • Give Strategist to the people planning avatars, briefs, and the roadmap.
  • Give Editor to the creators producing and delivering assets.
  • Use folder-level viewer sharing when you want someone to see Vault work without editing it.
